# Account and billing

> Seats, plan changes, and the devices linked to your account. Owner only.

Source: https://triagic.com/docs/admin/account-billing

**Account** is visible only to the account owner, the person who signed up. It is the
one place plan, seats, billing and device activations are managed, deliberately, so
two screens can never disagree about how many seats you have.

An org admin who is not the owner has no view here; a member who navigates to it is
returned to the Organization page.

## Plan and seats [#plan-and-seats]

There is one plan, sold per seat per month. See [Pricing](/pricing) for the current
price. You choose a seat count; there are no tiers to pick between. Up to 500 seats
is self-serve checkout; above that, email [hello@triagic.com](mailto:hello@triagic.com)
and we will issue a negotiated license.

Until you buy seats, the account is on its 14-day free trial, which is **one seat**:
the owner. Buying seats is therefore the first step in setting up a team.

Change the seat count in the **Seats** box on the account page and press Update.
The change is applied to your subscription immediately and prorated onto your next
invoice; the seat count shown here updates once the payment provider confirms it,
usually within a few seconds. The new cap applies the next time someone tries to add
a member.

### How seats are counted [#how-seats-are-counted]

Against **active** members. Disabling someone frees their seat while keeping their row
and history; see [Members](/docs/admin/members#removing-someone). The owner counts,
because they are a real user of the product.

Adding a member past the cap fails with the seat-limit message and an upgrade link
rather than silently succeeding.

## Add-ons [#add-ons]

Forms + email and Checkups are add-ons, priced per seat per month on top of the seat plan. Each add-on is its own subscription, so adding one never touches your seat plan's payment mandate.

1. On **Account**, under **Add-ons**, choose **Add for 1 seat**. Checkout opens the same way as the seat plan.
2. Change the seat count in the number field. Most payment methods resize in place, effective immediately or from your next billing cycle. When the card's mandate can't be resized, the change is refused with a message telling you to cancel the add-on and start a new one for the seat count you need — there is no automatic replacement subscription for add-ons.
3. **Cancel** stops the add-on at the end of the paid period. Members keep it until then.

Add-ons are not available during the trial. Cancelling the seat plan cancels every add-on with it.

## Activated devices [#activated-devices]

Each desktop install that signs in to your account is registered as an activation. The
roster of activated devices lives here, each row showing its machine id, app version,
when it was last seen, and **which member is signed in on it**.

That last column is the email of whoever most recently refreshed the entitlement from
that device, so a device that changes hands re-attributes itself on its own within
about a day rather than needing anything cleaned up. Installs that activated before
this was recorded show no user until their next refresh, and a device last refreshed
by someone since removed from the directory shows their raw member id, because there
is no address left to resolve it to.

Deactivating a device removes it from the roster, freeing its slot in the rolling
30-day activation window. Use it when a retired laptop is holding a seat you need
back. The install keeps the entitlement it already holds until that token needs
renewing; it can only renew if the account is still under its seat count. See
[Roles, plans and seats](/docs/concepts/roles-and-access#plans-and-seats).

> **Note:** The desktop deliberately cannot deactivate itself
>
> The desktop's License page shows plan state and can refresh the entitlement, but has
> no "buy" and no "deactivate this device". Seat management exists in one place only.

## Entitlements, briefly [#entitlements-briefly]

The desktop verifies its entitlement offline against a signed token that it refreshes
when it can reach us. Two consequences:

* **Being offline is fine.** There is a grace window; the app keeps its entitlement
 through normal disconnection.
* **Being offline for a long time is not.** Past the window, the install locks and
reports *"Triagic couldn't reach the license server for too long"*. Signing in again
 and refreshing restores it.

A system clock that jumps backwards is treated as tampering and suspends the license
until the clock is corrected. The message names this explicitly, so it is not a
mystery when it happens.

## Cancelling [#cancelling]

Press **Cancel subscription** on the account page. Access continues to the end of the
paid period; after that the account is expired and desktop installs lock to their
license screen. Re-subscribing starts a new subscription rather than reviving the old
one: a cancelled subscription can't be reactivated.

Nothing is deleted. Member rows, playbooks, integrations, tickets and audit history
all stay, and re-subscribing restores access to them.

## Billing questions [#billing-questions]

Invoices and receipts are emailed by the payment provider when each charge is
captured. To change the card or mandate behind a subscription, cancel and subscribe
again. A mandate is bound to the subscription it was authorised for.

Indian e-mandate and UPI Autopay rules require you to approve any auto-debit above
₹15,000 each cycle; the provider notifies you when a charge needs that approval.
Larger seat counts will hit this, so watch for it around your renewal date.
